Step 1. Booking Inquiry

After you’ve looked over our tour activities, accommodations and ready-made Model Tours, if you’d like to reserve a tour then use our online booking form to submit your request and begin the process. You can request specific activities with your booking, but the form focuses more on your general interests, which helps us to plan the personalized tour according to your interests and schedule, while also adjusting to any logistical constraints on the side of the activity organizers. We can usually schedule 2 or 3 activities per day, each activity ranging in price from ¥1000 to ¥5000 per person. No payment is made when you submit your booking inquiry. After confirming the details and costs with you, we’ll request your payment (see Steps 3 & 4 below).



Step 2. We Plan the Tour

Upon receiving your booking request, we’ll look carefully at the information provided to plan a tour that best matches your interests, your group size, your schedule, and our available tours during your stay. You’ll have a chance to make changes later, but the more info you provide in the initial booking request submission, the better we can plan your tour! The planning process for Model Tours is much faster and easier since these itineraries are pre-planned. We can also book your local accommodations for you with help from our friends at YUtour.



Step 3. E-mail Confirmation

After drafting your tour, we’ll begin an e-mail exchange for you to approve the plan, ask any questions, or request changes. We’ll also provide cost estimates along the way. Upon final confirmation when you’re happy with the plan, we’ll send your bill.



Step 4. Payment & Receipt

Once the booking is confirmed, we’ll send a secure online invoice, with optional PDF downloadable copy. The invoice includes a secure link for online payment via Paypal. We can also collect credit card information by phone if you prefer, but payments must be made at least 1 week before the date of reservation. After payment, you will receive receipt of paid invoice and printable PDF with the details of your visit. Please be sure to bring a printed copy, or digital copy on your mobile device, of the paid invoice when you arrive at our guesthouse and/or tour activities to show the venue staff as proof of payment and reservation.

Cancellation Policy

Like payments, cancellations should also be made no later than one week before your reservation. Cancellations made more than one week before reservation will receive a complete refund of payment. Cancellations made less than one week before may be partially or entirely non-refundable. Please see our Terms and Conditions for all details of our cancellation policy.



Step 5. Welcome to Sato!

We’re looking forward to welcoming you upon your arrival. Depending on your itinerary, our staff may meet you at a designated local train station or other public area. If you’ve pre-arranged an interpreter with us, they may be greeting you, or if you’re the adventurous type then you may also head to your first scheduled activity on your own. Don’t forget to bring a printed or digital copy of your invoiced itinerary; it will usually serve as your entry voucher for tour activities (unless otherwise stated by your tour planner) so it’s important not to forget!
